AI chat tools are good at the writing jobs that eat into a trades owner's evenings: replies, quotes, posts and polite chasers. The trick is telling them enough. These 25 prompts do that for you. Copy one, fill in the brackets, and paste it into ChatGPT, Claude or Gemini.
How to get a usable first answer
Every prompt here follows the same shape: who you are, what you want, who it's for and how it should sound. If an answer isn't right, don't start again. Tell the tool what to change: "shorter", "less formal", "mention the parking".
Enquiries and quotes
I run a [trade] business in [area]. A customer has asked: "[paste their message]". Write a friendly, short reply that answers what you can, asks for [photos / measurements / postcode] so I can give a price, and offers a time to call. UK English, no jargon.
Keep the reply under 100 words. People read these on their phones.
Here are my notes from a site visit: [paste notes]. Turn them into a clear quote description for the customer: what's included, what isn't, and what they need to do before we start. Keep my prices exactly as written: [prices].
The tool should never change your prices. Check the numbers before you send.
A customer says my quote of [price] for [job] is higher than another they've had. Write a calm, polite reply that explains what's included ([materials, guarantee, waste removal, etc.]) without criticising the other quote.
I sent a quote for [job] to a customer [number] days ago and haven't heard back. Write a short, friendly follow-up that doesn't sound pushy, and gives them an easy way to say no.
An easy way to say no takes the pressure off, and a clear no beats silence.
